Administrative Assistant


Overview:

To provide support and organizational leadership to the company staff, and clients.
Primary Responsibilities Include, but not limited to:
  • Provide direct administrative support to the President and staff as needed.
  • Answering incoming phone calls
  • Track the teams’ production process in our Project Management Software Mavenlink
  • Develop and print reports
  • Write and review contracts
  • Maintain file organization, both printed and digital
  • Accounts Receivable tasks including daily invoicing, monthly recurring transactions and collections
  • Accounts Payable tasks including reviewing and paying invoices to vendors
  • General office organization (keep office stocked and organized)
  • Assist in scheduling clients, contractors, and staff meetings
  • Assist team members as needed - social media, proofing, making calls, developing reports, etc
  • Other general office support/admin tasks as needed


  • Job Requirements:

  • Organizational skills a must. Take the complicated and make it simple
  • Must align with our core values and mission statement.
  • Must be an excellent verbal and written communicator.
  • Must be an excellent multitasker and be able to handle and tame chaos.
  • Understanding of PC operating systems and file structures, Word & Excel.
  • Must be a solution-minded person who is motivated by helping others
